Sales & CRMFreemium

Keeping track of who you are talking to and what happens next. The tools differ mainly in how much they assume about your process. Pipedrive is built around deal stages and can be run by a small sales team with nobody administering it. Attio takes the opposite view and lets you model your own pipeline rather than adopting theirs, which suits companies whose sales motion is not a standard funnel. Apollo.io combines prospect data with sequencing, so finding a contact and emailing them happen in the same place. Intercom is on the support side of the same relationship: a shared inbox, a help centre, and an AI agent handling the questions that have documented answers. The failure mode across all of them is identical, and it is a system nobody updates.

Questions about sales & crm tools

When does a small team actually need a CRM?
When more than one person needs to know the state of a conversation, or when deals take long enough that you stop remembering them. Below that, a spreadsheet that is actually maintained beats a CRM that is not.
What is the difference between a CRM and a sales engagement tool?
A CRM records the relationship. A sales engagement tool runs the outreach: sequences, follow-ups, call tasks and reply tracking. Some products do both, and doing both moderately well is common.
Is buying prospect data legal?
It depends on where the contact lives. Rules such as GDPR restrict how personal data is obtained and used for marketing, and consent requirements vary by country. Check the obligations for the regions you are contacting rather than assuming the vendor has handled it.
Why do CRM implementations fail?
Because updating them is work that benefits someone other than the person doing it. The implementations that survive ask for less, populate themselves from email and calendar where they can, and are fast enough to use during a call rather than after it.
